Operations Manager | Job Description

We are seeking an Operations Manager to support the Headquarters team at Sagamore Institute. The ideal candidate is a process-oriented problem solver that demonstrates excellence, humility, and grit in their personal and professional experiences.

Position Title: Operations Manager
Reports To: Chief of Staff
Classification: Full-Time, Non-Exempt
Location: Indianapolis (Broad Ripple); Option to work remote on Fridays

Job Functions: The Operations Manager is required to perform a range of duties, including:

Information Management
• Support effective information management by entering donation, grant and project information and building reports in Sagamore’s CRM (Salesforce)
• Oversee Sagamore’s donor acknowledgment process including donation processing and recordkeeping and mailing receipt letters in a timely and professional manner
• Provide support for fundraising operations, such as maintaining contact lists
• Maintain physical and digital archives of past publications and content

Event and Office Management
• Work with staff and partners to plan and execute events at Sagamore’s offices and offsite locations, including management of facility, catering, and rental contracts
• Coordinate meeting room reservations and maintain Sagamore’s shared calendar
• Order office supplies and serve as the primary contact for facility and technology partners

General Administration
• Support the Executive Team by scheduling meetings, completing credit card expense reports and performing other administrative duties, as assigned
• Assist with management of the Society of Sagamores and summer internship program
• Draft minutes for Sagamore’s Board of Trustee and Executive Committee meetings
• Open and distribute mail and create bank deposits

Job Qualifications and Requirements:

• Minimum of 3 years of work, internship, or volunteer experience in a related field
• High aptitude for data management and organizational processes
• Proficiency with desktop and web-based technology solutions and troubleshooting; experience with the following preferred: Salesforce, Office 365, Dropbox
• Self-starter with an ability to prioritize tasks and implement solutions
